You can also change the Organizational Unit in which this mailbox is a member. You can also set the Outgoing and Incoming message size limit for this mailbox. You can also select whether to allow only certain users and groups to schedule appointments or if all appointment requests require manual approval by the resource owner.

Scheduling a resource

OCSS allows customers to capture important additional information on bookings/appointments that are not visible in Outlook such as customer name, project, work order number, and other information which can be used for reporting. This additional data can also be published into Outlook, something that a standard two way Outlook sync cannot do.

Booking a resource for a meeting

Resource scheduling allows resources to accept meeting requests that appear on their calendars. This can be automated or it can be overseen by someone else. This method is ideal for conference rooms or equipment that need to be reserved. It is also suitable for resources with high demands or a lot of free time. To enable this feature, you must set up a resource account for each room or piece of equipment that needs to be booked. This is a type of calendar folder that is associated with the resource’s Calendar, and bookings and busy times are retrieved from it. This method

eliminates the need for inefficient paper sign-in sheets, and it prevents conflicting scheduling.

For a more automated approach, you can also grant certain Exchange users Editor access to the calendar folder for a specific resource. This can be done by using a distribution list or security group in the Global Address List. The calendar folder can then be used by people to schedule events directly. However, this method does not protect a resource from receiving multiple bookings at the same time.

Cancelling a resource for a meeting

Meeting cancellation resources are important because they can save you time and prevent meetings from being organized that block out other people’s schedules. However, it’s also important to remember that canceled meetings will not be removed from the attendees’ calendars. This may lead to confusion and miscommunication. This can result in lost productivity and wasted time.

If you’re using an Exchange resource account (typically for conference rooms or equipment), the owner of that account can set a public folder to accept meeting requests directly in the folder, or delegate the account and use permissions to limit who can add appointments or meetings. A free auto accept script or event sink can be used to automatically accept or decline meeting requests on a resource account, but this requires the delegate to keep Outlook open all the time and be available to respond to meeting invites.

Another option is to use the RemoveCanceledAppointments macro, which searches through the resource calendar and deletes appointments with “Canceled:” in the subject. This works on all versions of Outlook and can be used in conjunction with a filtered view that displays only canceled meetings or in place of an autoaccept rule.
